Decide what AI may do. And who stays responsible.

Before an AI workflow uses organizational information or proposes an action, someone needs to define its boundaries. These are the governance questions shaping our engine: permissions, human oversight, data sovereignty and evidence for review.

01 / RESPONSIBILITY

Start with the decision.

Consider a draft response based on internal guidance. Who may access the source? Can the draft be shared? Who checks it, and who can stop the workflow? Defining these responsibilities turns a general ambition for responsible AI into requirements a project can test.

Reading a source does not authorize changing a record or sending a message.
A draft needs a named reviewer before it becomes an approved reference.
A missing permission or unresolved exception should have an agreed stopping and escalation path.

02 / EVIDENCE FOR REVIEW

Be able to examine what happened.

For our engine, visibility and traceability mean planning records that connect a task to its sources, actions and human decisions. The scope of those records would be agreed for each use case.

Sources and permissions

Identify which documents and versions were available to the task, which access rules applied and which model or tool was used.

Actions and approvals

Define the actions that need human oversight, who can approve them and how approvals, refusals and changes would be recorded.

Results and corrections

Keep the proposed output connected to its review, including corrections and unresolved questions, to support later governance and compliance assessments.

03 / ORGANIZATIONAL CHOICES

Make control specific to your requirements.

Data sovereignty involves choices about strategic data, intellectual property and providers. It cannot be established by a label alone. For a proposed deployment, these choices would need to be documented, implemented and validated.

Data residency and access

Where may information be stored and processed? Who may access it, how long should it be retained and how must deletion work?

Provider choice

Which models, tools and providers are acceptable? What interoperability and export requirements would help the organization change a component later?

Intellectual property

Who owns the source material and reviewed outputs? What use is permitted, and which knowledge should the organization retain?

04 / CHECK THE CONTROLS

Test the difficult cases too.

An evaluation should include an expired source, two documents that disagree, a request outside the person’s permissions and an action requiring approval. For each case, define the expected boundary: what the workflow may return, when it must stop and who reviews the exception. These cases turn governance requirements into something a project can examine.

Agree on baseline measures and the evidence needed to judge the workflow.
Document who reviews exceptions and who can approve a change in scope.
Use the evaluation to decide whether to revise, expand or stop the use case.
